When You Sell a Machine

Congratulations! You've sold a machine using TARGET. That's nice, but there is still more to do to keep your TARGET system happy.

Confirm quote details

First, make sure that the information in the quote is correct. In particular, the price should be the final price to be charged for the machine. If you changed the price after the original quote, correct the quote now.

Resolve quote

In theory, the quote should already have been resolved as a sale as soon as the salesman found out the prospect wanted the machine, but if this has not yet happened, resolve it now (F7).

Finalize sale

Using Finalize a Sale (Back Office 43), enter the quote number, then change the Code field to contain S instead of the default NS (we are pessimists). The reference number field is optional but we suggest filling in the invoice number here as proof that the paperwork has all been done. This function produces a report you can file with the paperwork for the machine.

Follow up

The report also shows all the quotes that were automatically resolved as no-sale when this quote was finalized. This would be a good opportunity to call all these people and tell them the machine has been sold. You might also use the Prospect List Generator to produce a list of all quotes on this machine with resolution N and then send a price list for the category to all those prospects; put a boiler plate on the top that says something like "we recently quoted you a similar machine that has now been sold...." and you have a legimate reason for sending them a promotional fax.

Accounting issues

If you are using the FACCTS General Accounting System, you should make sure that all job cost is up to date before you finalize the sale, particularly if you have the system set to calculate the cost of goods sold entry automatically. Note that this is controlled by the system control variables JOBCST (both systems) and OK2CGS in FACCTS.
